Location: The position is based in NYC, 4 days in office, 1 day remote
About the NYIC
The New York Immigration Coalition (NYIC) is an umbrella policy and advocacy organization for nearly 200 groups in New York State that works for justice and opportunity for immigrants and refugees. The NYIC successfully brings together multi-ethnic, multi-racial, and multi-sector constituencies to pursue a common agenda. That agenda includes: advocating for equitable immigration policies; ensuring immigrants’ civil rights; encouraging immigrants’ civic and electoral participation; improving immigrants’ access to quality health care and education; coordinating immigration services; and educating both newcomer communities and the public at large about immigration issues.

Summary of the Position:
The Development Associate plays a key role in supporting the development team's daily operations. This role is responsible for gift processing and acknowledgment, maintaining the donor database, supporting fundraising event logistics, and ensuring the smooth execution of administrative and operational tasks. The Development Associate also contributes to systems building and optimization by supporting the Director and VP of Development in improving internal workflows, data systems, and cross-team coordination. The ideal candidate is detail-oriented, tech-savvy, and thrives in a fast-paced, mission-driven environment.
Responsibilities include, but are not limited to:

1) Documentation & Materials Preparation
- Compile and format funder materials, internal templates, and briefing documents
- Maintain shared knowledge bases, internal process guides, and organizational records
- Support trainings and participate in updating documentation as guided
- Complete prospect research on institutional funders and individual donors

2) Donation Processing & Acknowledgments
- Process and enter donations into CRM (Salesforce) on a weekly basis
- Generate and send timely acknowledgment letters and receipts to funders and donors
- Reconcile and review incoming deposits with Finance to ensure accuracy and consistency in donation records
- Track donations and ensure information is consistent across platforms

3) Database and CRM Maintenance
- Maintain clean and up-to-date donor records in Salesforce and other databases
- Deduplicate and update contact information as needed
- Manage segmentation lists and data for outreach and communications
- Support new tracking and reporting systems and manage integrations across platforms (Salesforce, Asana, Google Drive)

4) Event Logistics Support
- Support mailings, coordination of communications, and logistics for fundraising events
- Support the creation of print and digital materials to ensure efficient data collection and support a streamlined guest experience. Prepare run-of-show documents, print materials, and
- Provide ad hoc day-of-event support for both virtual and live events

5) Project & Task Management
- Maintain internal project dashboards and task trackers using tools such as Asana
- Track deadlines and ensure timely submission of proposals, reports, and event deliverables
- Support programs, policy, and advocacy teams in deliverable and reporting tracking

6) General Administrative Support
- Provide ad hoc administrative support for development and fundraising activities
- Assist in onboarding new staff and training them on development systems and procedures
- Prepare materials and reports for quarterly reconciliation and development operations meetings
- May occasionally move or carry materials weighing 50 pounds or less.
Qualifications:
- 1–2 years of experience in nonprofit development, fundraising operations, finance, or administrative support
- Proficiency with Salesforce (or similar CRM), Google Workspace, and project management tools such as Asana
- Excellent attention to detail and ability to manage multiple tasks and deadlines
- Strong written and verbal communication skills
- Ability to work independently and collaboratively within a team
- Commitment to the mission and values of the NYIC
Preferred Qualifications
- Experience supporting donor acknowledgment or fundraising events
- Familiarity with donation processing, data entry, and financial reconciliation
- Comfort with building and maintaining tracking systems and internal documentation
Salary: $55,620*
*The NYIC has a transparent and equitable salary structure. Starting salaries for each position are set in advance with no room for negotiation.
