Position Overview

The Operations Associate will play a key role in maintaining the day-to-day operations of our Statewide offices by coordinating facilities and IT systems matters (in conjunction with our external IT managed service provider), managing vendor and partner relationships, executing general operational and administrative tasks, and other tasks as needed The Associate will provide support on all aspects of operations, events, technological, and facilities management across all NYIC Statewide offices. In addition, the Associate will provide administrative support for large events the NYIC organizes, including convenings, rallies, and mobilizations.

Responsibilities include but are not limited to:

  • Provide support to ensure NYIC offices are in good working order, including coordinating with external vendors, landlords, and staff, including support for regional offices. In addition to NYC headquarters, the NYIC currently has offices in Hempstead, Newburgh, Albany, Syracuse, Rochester, and Buffalo. As the organization continues to grow, the Associate will play a vital role in supporting department leadership (e.g. Operations Manager, Director of Operations, VP of Operations, Human Resources team, etc.) in identifying and securing new office spaces throughout the State. Support for regional offices is largely remote, but occasional travel to regional offices will be required.
  • Support NYIC basic office IT needs to ensure staff productivity, including troubleshooting basic issues with computers, basic issues with software, copy machines, and other large equipment. Refer staff to Operations department leadership and/or contracted IT service provider when more support is needed.
  • Serve as the point of contact for day-to-day requests for third party vendors, including printer companies, office material suppliers, and contractors. Escalate requests to the appropriate department.
  • Assist with organizing a wide variety of events (including rallies, town halls, demonstrations, and other organizational events) by supporting logistics, budget tracking, materials, supplies, and other preparations leading up to and during events.
  • Assist with additional duties as necessary.

Qualities Sought

  • Operational Support Skills: Ability to efficiently manage daily operational tasks including office management, scheduling, and resource coordination to ensure organizational activities run smoothly.
  • Basic Technology Proficiency with a Willingness to Learn:
    • Familiarity with Asana for project management.
    • Basic knowledge of G Suite (Google Workspace) for documents, spreadsheets, emails, and scheduling
    • Experience with Zoom and Google Meet for virtual meetings.
  • Professionalism and Work Ethic: Demonstrates a high level of professionalism in all aspects of work, including reliability, punctuality, and the ability to maintain a positive and respectful workplace. Shows a strong work ethic and commitment to the organization's goals.

  • Educational and Professional Background: A bachelor's degree is preferred but not required; relevant experience in operations, administration, or a related field is beneficial.

Important facts to know about this opportunity:

  • This position is mostly on-site, with a requirement of being in the office 4 days per week and remote 1 day per week.
  • The NYIC staff continues to mask while in the office.
  • The NYIC has a staff-wide vaccine mandate. Staff must be fully vaccinated and provide proof of vaccination to HR before being onboarded.

Salary: $54,000**

**The NYIC has a transparent and equitable salary structure. Starting salaries for each position are set in advance with no room for negotiation.
