Position Overview

The NYIC Finance Associate will work closely with the Senior Manager of Finance Administration to provide support on financial management, government contracts, and administrative tasks. The Associate will work closely with all staff to ensure accurate expense tracking on contract deliverables and will also provide administrative and technical support for the organization as needed. A successful candidate will have a strong attention to detail and familiarity with government contracts is a strong advantage.

Reports to: Senior Manager of Finance Administration

Key Responsibilities

  • Support Senior Manager of Finance Administration in managing expenses submitted via bill.com and expensify, with a particular focus on allocating expenses to the correct funding sources.
    • Review and Upload Organization-wide invoices, support documentation (EAFs, MOUs, W9 forms), and payments through Bill.com.
    • Review Organization-wide staff Expense Reports and receipts for accuracy, primarily for those under the ONA contract.
    • Liaise with staff members as needed to obtain the necessary documentation.
    • Support with on-boarding training on financial and administrative procedures and policies.
  • Assist Contract Finance Manager with the following:
    • Collect and do preliminary review documents from legal service providers and contractors.
    • Organize supporting documentation and vouchers accordingly to be in compliance with donor’s contractual requirements.
    • Prepare preliminary analysis to compare ONA staff monthly timesheets and contract budget.
  • Organize and maintain detailed finance records and files.
  • Provide additional support for the NYIC finance team as necessary.

Qualifications:

  • Bachelor’s degree required in finance, business or public administration, or related field with a focus on quantitative analysis.
  • 2-4 years of nonprofit administration and/or finance experience, preferably with an emphasis on government contract management.
  • Ability to manage tight deadlines and competing priorities and strategize in a rapidly changing environment.
  • Familiarity with Excel, Expensify, Intacct, Salesforce, Google Workspace and Asana.
  • Strong attention to detail is a must.
  • Strong communication verbal and written skills to translate complex problems using non-technical terms.
  • Excellent mathematical, problem solving and analytical skills.
  • Strong interpersonal skills and experience working with diverse populations.
  • Interest in and/or knowledge of the NYIC, its members, or issues affecting immigrants in New York is an advantage.

Important facts to know about this opportunity:

  • This position is mostly on-site, with a requirement of being in the office 4 days per week and remote 1 day per week.
  • The NYIC staff continues to mask while in the office.
  • The NYIC has a staff-wide vaccine mandate. Staff must be fully vaccinated and provide proof of vaccination to HR before being onboarded.

Salary: $54,000
